Active Youth NI is a not-for-profit organisation dedicated to empowering children and young people through inclusive, non-sport specific physical activity programmes that support physical, mental and social wellbeing. Delivering a range of funded and paid-for programmes, we work with schools, communities and families to create positive, inclusive environments where young people can thrive. 

As our organisation continues to grow, we are seeking a Finance & Administration Officer to support the smooth and efficient running of our operations, finance systems and customer administration functions. 


The Role

The Finance & Administration Officer is a key support role within Active Youth NI, reporting to the Managing Director and working closely with the wider team. 

The postholder will provide high-quality administrative, financial and customer service support across the organisation. They will play an important role in ensuring our systems, records and processes are accurate, efficient and compliant, helping to create the foundations that enable our programmes to operate successfully. 

This role is ideally suited to someone who is highly organised, detail-oriented, confident working with numbers and passionate about supporting an organisation that makes a meaningful difference to children and young people. 


Key Responsibilities

Finance Administration

  • Raise invoices and monitor outstanding payments across funded and paid-for programmes. 

  • Maintain accurate financial records using organisational systems and software. 

  • Support credit control processes, including following up outstanding invoices and payments. 

  • Assist with bank reconciliations and financial record keeping. 

  • Support the preparation of financial information for management reporting. 

  • Assist with monitoring expenditure against programme budgets. 

  • Support the financial administration of grants, contracts and tenders. 

  • Maintain clear audit trails and supporting documentation for funders and auditors. 

Payroll & Pension Administration

  • Prepare and submit payroll information on a monthly basis. 

  • Administer workplace pension arrangements and associated records. 

  • Liaise with payroll providers and external advisers as required. 

  • Maintain accurate employee payroll records and documentation. 

  • Support with the onboard of new recruits

Administration & Customer Service

  • Act as a first point of contact for parents, schools, partners and stakeholders via telephone and email. 

  • Respond to customer enquiries in a professional, friendly and timely manner. 

  • Work closely with the Programme Co-ordinator to support programme registrations, bookings and participant administration. 

  • Maintain accurate participant and organisational records. 

  • Manage electronic filing systems and databases. 

  • Assist with the preparation of reports, presentations and organisational documents. 

  • Support compliance with data protection and record management requirements. 

Grants, Contracts & Organisational Support

  • Support the administration of grant-funded programmes and service contracts. 

  • Assist with gathering information and evidence required for funder monitoring reports. 

  • Support the tracking of programme income and expenditure. 

  • Assist the Managing Director and wider team with administrative tasks related to organisational growth and development. 

  • Help ensure organisational systems and processes remain efficient, scalable and fit for purpose. 

General

  • Attend staff meetings, training and organisational events as required. 

  • Work collaboratively with colleagues to support organisational objectives. 

  • Undertake any other reasonable duties commensurate with the role. 


Person Specification
Essential

  • At least 3 years' experience in an administration, finance, bookkeeping or business support role. 

  • Excellent organisational skills and attention to detail. 

  • Strong numerical skills and confidence working with financial information. 

  • Experience maintaining accurate records and administrative systems. 

  • Excellent written and verbal communication skills. 

  • Proficiency in Microsoft Office applications, particularly Excel. 

  • Ability to prioritise workload and manage multiple tasks effectively. 

  • Ability to work independently and use initiative. 

  • A genuine passion for improving outcomes for children and young people. 


Desirable

  • Bookkeeping, accounting or finance qualification. 

  • Experience using accounting software such as FreeAgent, Xero, QuickBooks or Sage. 

  • Experience supporting payroll and pension administration. 

  • Experience within the charity, social enterprise, education or community sectors. 

  • Experience working with grant-funded projects and reporting requirements. 

  • Knowledge of GDPR and data management processes.

Salary & Benefits 

  • Salary: £26,000 pro rata 

  • Part time (15 hours per week), permanent  

  • You must live within commuting distance to the Ards and North Down Borough
