Useful Information

How to book 

When you book your child/children onto one of our services, it is important you give us all the information we ask for.  Our Directors keep this safely (in adherence with our data protection policy) however, when there is a medical issue or important information regarding a child, we will discreetly let the Lead Coach aware. This will ensure your child's/children's safety throughout their time with Active Youth NI.   

Experienced, qualified staff 

We take great pride when employing our Active Youth NI staff. They will all have Enhanced Criminal Record Checks (Access NI) and a qualification to the level they are employed for. Our Lead Coaches are trained teachers or Level 2 qualified and experienced coaches.  

Medical conditions 

As already stated above, please inform camp directors of any medical issues and allergies. This information will be kept confidential, and no attention will be drawn to the condition. However, where necessary, details will be passed to the child’s Lead Coach for safety purposes. 

Any child who requires inhalers, EPI pen in case of emergency must bring this to camp in a clearly labelled box.  

Sickness 

Be mindful of other children and families if your child is sick, please do not bring them to camp or allow them to attend our Afterschool provision. If your child may need 1-1 attention our child to adult ratios might not allow for this during activities.  

If there is a vomiting bug, please keep your child at home. Government guidelines state, a vomiting bug can be contagious for up to 48 hours after vomiting has stopped and you should stay at home during this time.  

If a child is sick and unable to attend Active Youth Afterschool or AYNI Camp, a refund cannot be given. 

Special Educational Needs 

As a physical activity provider, we welcome children with special educational needs and can offer appropriate care within our staffing ratio.  We are realistic about the limitations of a physical activity session or camp environment for children with special needs and attendance is considered on an individual basis.   

Cancellation charges 

Any cancellations of Active Youth NI services must be received in writing via email. 

  • Cancellations up to 3 weeks before the beginning of camp/ their first session will incur a 10% administration fee. 

  • Cancellations 1-2 weeks before the beginning of camp/ their first session will incur a 25% admin fee. 

  • Cancellations within the week leading up to, during or after camp/ their first session are non-refundable.  

Cancellations are subject to the above fees and the remainder will be refunded to you by the original payment method. Alternatively, we can keep the full amount as credit for use in the future (up to 12 months). 

At any point before the start of camp you can amend your dates free of charge (subject to availability – See below for more details).

AYNI Camp Information

To ensure your child/children have fun and look forward to their time at AYNI camps, we have a different theme to each of the days. Each camp will differ depending on the time of year, so please look out for this in the parent email sent out 1-2 weeks before camp begins.  

Your children will go through a variety of activities daily, these are age and ability appropriate and planned by our Lead Coaches. The activities each group will participate in are: 

  • Active Games 

  • Mindful Movement 

  • Healthy Eating 

  • Crafts (this is optional and children will participate in a fun, active game as an alternative) 

To end the day, we like to bring all the age groups together and have a group sports day consisting of relays or games.  For those that feel like a calmer option they can be taken on a forest walk.  

What to bring 

  • You should pack a lunch and some snacks. The days will be quite physical, and children will expend a lot more energy than a usual day, so do stick in an extra snack or a bit more lunch.  Please note, we kindly ask that you do not bring any nut products. 

  • Named water bottles, these can be refilled during the day.  

  • Raincoat (we plan to be outside as much as possible) 

  • Extra layers for warmth as well as in case of spillages and accidents.

What to wear 

  • Trainers or comfortable shoes that children can run and take part in our fun games. (Sport specific shoes are not necessary but please no flip-flops or sandals.) 

  • Comfortable loose clothing (leggings, tracksuit bottoms, t-shirts, hoodies). 

  • As above, layer up coats, hoodies. It is anyone’s guess what the weather will do!  

  • Where necessary, please wear sunhats and apply suncream the morning of camp. 

What not to bring  

  • Money 

  • Any valuables  

  • Sport equipment 

  • Phones, games consoles and form of device

When you arrive through the main gates to Glenlola Collegiate, please keep to the right and this will take you round to the drop off point.  Here you will see a member of our camp team ready to welcome all our campers.   

Camp times 

9am-2pm  

Early drop off: 8am (pre paid)  

Late pick up: 3pm (pre paid) 

Please be aware children cannot be dropped off early/picked up late unless you have previously stated and paid for this in your booking form.  We will only have limited staff to cover the early and late drop off.   

Children will be signed out individually by their lead coach so please be patient and do not take your child home unless you have checked with their coach.

Whatsapp Group 

You will receive an information email prior to camp. Within in this email you will find a link to a parents WhatsApp group.  You will NOT be able to reply to this group at any time, we want to keep the group for relaying information to you only. If you have any questions or requests, you can contact Joni and Lisa privately. Please join this group when you get the link, you will be provided with daily pictures and information about what the children have been up to. 

Lost property 

We will try our best to return all lost property throughout the days of camp. We will add pictures of any leftover items to the parents WhatsApp group. In most cases you will have one week after camp to collect the items, before they are taken to charity.
