Programme Co-ordinator

Deadline: Sunday 4th January 11.59pm (interviews proposed for w/c 12th January)
Location: Working from home, however the post holder will be required to attend meetings within the North Down Region  
Hours: 16 hours per week (working hours TBA)  
Contract: Temporary for 1 year including 6 month probationary period  
Salary: £26,000 FTE → £11,885 for 16 hrs/week  
Reports to: Head of Service Delivery 

About Us 

The Programme Co-ordinator supports the smooth, effective delivery of Active Youth NI’s core programmes: Active for All, Active & Able, Active Together and Active Girls. The role ensures each programme runs to a high standard, is well-organised, and offers an accessible, positive experience for children, young people, and families. 

The postholder will act as a central point of contact for parents and participants, oversee scheduling and logistics, facilitate procurement needs, and support the collection of meaningful data and feedback. They will also contribute to promoting and communicating the programmes through appropriate channels to help increase engagement and visibility. 

Key Responsibilities 

Programme Coordination & Logistics 

  • Work closely with the Head of Service Delivery on all aspects of programme delivery 

  • Supporting with the planning, scheduling, and maintenance of timetables for all programme sessions across the four key strands. 

  • Hire and manage suitable facilities and venues, ensuring all bookings are confirmed and documented. 

  • Coordinate programme resources, including procurement of equipment, materials, uniforms, and external services as required. 

  • Ensure coaches, facilitators, and support staff receive accurate and timely information relating to their sessions. 

Communication & Parent Liaison 

  • Act as the primary contact for parents, carers, and participants, providing clear, timely, and supportive communication. 

  • Respond to enquiries, resolve routine issues, and escalate safeguarding or operational concerns where appropriate. 

  • Maintain accurate participant records, attendance tracking, and waiting lists. 

Monitoring, Evaluation & Reporting 

  • Gather, record, and manage data relating to attendance, participation, demographics, and outcomes. 

  • Collect feedback from young people, parents, and staff to support continuous improvement. 

  • Produce summary reports or data packs for funders, internal reviews, and external stakeholders as required. 

Marketing, Promotion & Engagement 

  • Support the creation and sharing of promotional content across social media, newsletters, and other communication channels. 

  • Liaise with the Active Youth NI team to ensure programme updates, stories, and successes are highlighted to the community. 

  • Assist with outreach to schools, community partners, and relevant networks to encourage participation. 

General Responsibilities 

  • Work collaboratively with the wider Active Youth NI team to support organisational goals. 

  • Uphold safeguarding procedures and ensure a safe, inclusive environment for all participants. 

  • Contribute to programme planning meetings and share insights to enhance delivery. 

  • Maintain accurate administrative records and ensure compliance with funder requirements. 

  • Undertake relevant training and development to support the role. 

 
Person Specification 

Essential 

  • Strong organisational and planning skills with excellent attention to detail. 

  • Experience coordinating activities, events, or programmes. 

  • Confident communicator with the ability to build positive relationships with parents, young people, partners, and colleagues. 

  • Competent in data collection, basic analysis, and record-keeping. 

  • Ability to prioritise workload and manage multiple tasks simultaneously. 

  • Comfortable using digital tools for scheduling, communication, and reporting. 

  • A proactive, reliable, and solutions-focused approach. 

  • Must own and have access to laptop during working hours

Desirable 

  • Experience working within youth, sport, education, or community environments. 

  • Knowledge of inclusive practice and working with diverse groups of children and young people. 

  • Familiarity with marketing or social media promotion. 

  • Access to transport to support site visits and session coordination.
